The Bureau of General Administration is headed by a Bureau Chief who reports directly to the Rector through the *Vice Rector for Communication, Partnership, Alumni Affairs, and Administration*. The Bureau is responsible for:

  • Coordinating the preparation of institutional correspondence and official reports;
  • Managing archives and archival information systems;
  • Providing archival assistance and services to institutional units;
  • Administering matters related to the prevention and handling of violence-related issues;
  • Planning, organizing, and overseeing administrative support services for the Institute’s leadership;
  • Coordinating the household management and operational budget of the Rector’s Official Residence (Wisma Ganesha), and ensuring its proper functionality and adequacy;
  • Conducting technical coordination with other units to support the effective performance of leadership duties;
  • Preparing, implementing, and monitoring the operational budget of Special Assignment Teams and ad hoc teams appointed by the Rector;
  • Assigning duties to the Rector’s personal assistants;
  • Managing administrative affairs, including correspondence, planning, finance, human resources, and facilities of the Bureau of General Administration;
  • Managing the internal affairs of the Bureau;
  • Coordinating performance monitoring, evaluation, and risk management within the Bureau;
  • Developing and implementing information systems within the coordination scope of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration;
  • Managing administrative affairs of the Office of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration;
  • Managing the internal affairs of the Office of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration;
  • Carrying out administrative affairs related to correspondence, planning, finance, human resources, as well as facilities and infrastructure of the Rector;
  • Managing the internal affairs of the Rector.

The Division of Bureaucratic Administration and Information Systems is headed by a Division Chief who reports to the Chief of the Bureau of General Administration. The Division is responsible for:

  • Coordinating the preparation of institutional correspondence and reports;
  • Administering institutional activities organized by the Institute;
  • Coordinating the development of Integrity Zone initiatives and Bureaucratic Reform programs;
  • Administering matters related to the prevention and handling of violence-related issues;
  • Developing and implementing information systems within the coordination scope of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration;
  • Carrying out administrative affairs related to correspondence, planning, finance, human resources, as well as facilities and infrastructure of the Rector’s Office.

The Subdivision of Administrative Governance and Bureaucratic Reform is headed by a Head of Subdivision who reports to and is responsible to the Head of the Bureaucratic Administration and Information Systems Division, and has the following duties:

  • Coordinating the preparation of institutional correspondence;
  • To carry out and coordinate the administrative management of activities organized by Institut Teknologi Bandung;
  • Implementing Integrity Zone Development and Bureaucratic Reform programs;
  • Administering matters related to the prevention and handling of violence-related issues.

The Subdivision of Information System Services and Reporting is headed by a Head of Subdivision who reports to and is responsible to the Head of the Bureaucratic Administration and Information Systems Division, and has the following duties:

  • To carry out and coordinate the management of information system services.
  • To carry out and coordinate the preparation of the Institute’s reports.

The Archives Division is headed by a Head of Division who reports to and is responsible to the Head of the General Administration Bureau, and has the following duties:

  • Managing archives and archival information systems;
  • Coordinating archival preservation, conservation, and restoration activities;
  • Coordinating archival processing, storage, maintenance, and acquisition;
  • To coordinate the management of archival service activities.
  • Coordinating appraisal and disposition of active records;
  • Providing archival assistance and services to institutional units;
  • To coordinate the dissemination of archival practices to all work units within Institut Teknologi Bandung.
  • To coordinate the preparation of Standard Operating Procedures for archival management.
  • Coordinating archival publication initiatives;
  • To coordinate the supervision and control of work unit archives to ensure compliance with applicable archival policies and regulations

The Subdivision of Archival Innovation, Preservation, and Conservation is headed by a Head of Subdivision who reports to and is responsible to the Head of the Archives Division, and has the following duties:

  • To carry out and coordinate the management of archives and archival information systems.
  • To carry out activities related to the preservation, conservation, and restoration of archives.
  • To carry out activities related to the processing, storage, maintenance, and acquisition of archives.
  • To carry out the management of archival service activities.
  • To carry out activities related to the appraisal and disposal of active records.

The Subdivision of Archival Development and Publication is headed by a Head of Subdivision who reports to and is responsible to the Head of the Archives Division, and has the following duties:

  • Providing archival assistance and services to institutional units;
  • Conducting archival dissemination and awareness programs;
  • To carry out the preparation of Standard Operating Procedures for archival management;
  • To carry out the publication of Institut Teknologi Bandung’s archival materials;
  • To carry out the supervision and control of work unit archives to ensure compliance with applicable policies and regulations

The Secretariat Division is headed by a Head of Division who reports to and is responsible to the Head of the General Administration Bureau, and has the following duties:

  • To manage the planning, organization, and oversight of services for leadership activities within Institut Teknologi Bandung.
  • Coordinating and facilitating leadership activities, both internal and external;
  • Managing operational requirements of the leadership, including correspondence, scheduling, official travel, and supporting documentation;
  • Coordinating the household management and operational budget of the Rector’s Official Residence (Wisma Ganesha), and ensuring its proper functionality;
  • Conducting technical coordination with other units to ensure effective leadership support;
  • Evaluating and reporting on the effectiveness and efficiency of services provided to leadership;
  • Preparing, implementing, and monitoring operational budgets for Special Assignment Teams and ad hoc teams appointed by the Rector;
  • Assigning duties to the Rector’s personal assistants;
  • Coordinating secretarial communication within the Rector’s Office and the Office of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration.

The Secretariat Unit is headed by a Secretariat Chief who reports to the Chief of the Bureau of General Administration. The Unit is responsible for:

  • To carry out administrative affairs related to correspondence, planning, finance, human resources, as well as facilities and infrastructure of the General Administration Bureau.
  • Managing internal affairs of the Bureau;
  • To carry out administrative affairs related to correspondence, planning, finance, human resources, as well as facilities and infrastructure of the Vice Rector’s Office for Communication, Partnerships, Alumni Affairs, and Administration.
  • Managing internal affairs of the Office of the Vice Rector for Communication, Partnership, Alumni Affairs, and Administration.
